Key Data Entry Issues

PET AGE - This must be a number only. Any letters or punctuation (other than a "." to represent a fractional year) will prevent the record from posting, although the system may report that it did post. This is the single most common problem we seem to be having with the system. For dogs under 8 months, use 0.5 - For dogs over 8 months, report the age as the nearest whole year.
DATES - Dates currently must be entered in "MM/DD/YYYY" format, including a 4 digit year and leading zeroes in the month and day values.
VACCINATION UPDATE - When renewing a license with a new rabies vaccination, please remember to update all three relavent fields (Expiration Date, Tag Number, Vet's name.) We are seeing several renewals where the Vet's name is still "VACCINATION EXPIRED" even though a current date has been entered.

System Notes and Announcements

12/11/2008: If you want to repeat a search, such as when the same owner has multiple pets, use the browser "BACK" function to return to the Search or Search Results page. From the "Results Posted" page two "back" clicks will take you to the search results, where you can select another record without having to re-enter the search.

12/8/2008: The "Markings" field is available for use for any type of comments you may want to have on the record. This could include a secondary phone number (not searchable) or other relavent information.

Added an "Edit" function to the Search Results screen. This brings up ALL information in the current record, without incrementing the pet's age, to allow for correcting entries and re-printing.

The "Age" field must contain only numbers. If you enter any text (e.g "1 yr", "4 mo") the system may report the record as posting, but the license will not actually post. If you have a dog over 8 months, use 1 for the year. Less than 8 months but over 4 months, use 0.5 (for one half year). Otherwise, just use the closest full year age.

12/5/2008: At the recommendation of one of our participating Vets, we have added an additional button to the Search Results screen. This button is labeled "REMOVE". Use this if, in the process of searching, you encounter a record fo a pet who you know is deceased or otherwise no longer in the care of the indicated owner. This will be used to help us track renewal rates.

We will add the status field, which will show "Renewed", "Removed", or "Current" for license records which have had activity since the system was launched, to the Search Results screen in the next update.
